Program Assistant - Amideast’s Hebron

Assignment Objective

Birzeit University is considering the selection of highly qualified Project Implementation Assistant responsible for the overall follow up and monitoring of all project implementation and activities under the supervision of the project manager.
 
Contract duration: From 1/12/2022 – 30/11/2023.
 

Tasks and Responsibilities

The Project Implementation Assistant will be responsible for the following tasks:

  1. Establish communications with stakeholders towards cooperation, and communication in issues related to the project. 
  2. Ensure the implementation of the project work plan and report every stage according to the Gannt Chart of the project. 
  3. Support and participate in organizing the logistics for proper delivery of project activities and events.
  4. Assist in preparing the progress reports and any other reports requested by Birzeit University and the CARISMED project.
  5. Assist in managing and providing guidance to project manager, consultants and provide project management support to staff throughout the project lifecycle and help determining the project priorities and resources, and ensuring donor expectations are understood and met;
  6. Implement the planning and organization of relevant project meetings and associated workshops, conferences and coordinate the preparation of supporting documents, reports, plans, analyses and presentations;
  7. Prepare necessary inputs required for the interim reports and annual work plans.
  8. Follow up partners financial reports and supporting documents to ensure compliance with donor rules and regulations. Work closely with the Finance staff of the project’s partners to ensure effective coordination and financial reporting in accordance with donor regulations.
  9. Assist in the preparation and submission of project’s progress and interim financial and administrative reports according to donor guidelines via the Management Information System (MIS). 
  10. Assist in Liaising with external auditors to finalize audited interim reports. And with local auditors to ensure appropriate monitoring of project finances.
  11. Periodical review of project financial documents and Budget vs. Actual reports to ensure activities are implemented in accordance with the work plan. 
  12. Assist in the preparation of budget modifications and realignment requests when needed. Review terms of references to ensure compliance with donor procurement guidelines and procedures
  13. Data collection from each participating city to prepare a consolidated methodological framework.
  14. Carry out other relevant duties as required.

Qualifications& Skills: 

  1. Minimum of bachelor’s degree in project management, business administration, accounting, or any related field of study. 
  2. At least 2 years-experience working with EU funded projects (ENI CBCMED projects experience is admired) in similar positions or related area is required. 
  3. Excellent working knowledge of computer applications (Word, Excel, PowerPoint…. etc.)
  4. Excellent communication, reporting and writing skills in Arabic and English.
