Operations Associate - Chemonics International
Chemonics International seeks an Operations Associate for a newly awarded, USAID-funded project promoting economic growth in the West Bank and Gaza through expanded economic development, trade, commerce, and applied research. The five-year project has four main objectives: (1) Facilitate Cooperative Exchange and Knowledge Sharing, (2) Foster New Markets, (3) Strengthen Palestinian Enterprises, (4) Promote Investment and Access to Finance.

The Operations Associate is responsible for supporting the Gaza-based team in administering and managing all office-administrative issues including, but not limited to, office management, travel and logistics assistance, correspondence, office organization and archiving. S/he will also be responsible for ensuring compliance with administrative-related USAID rules and regulations and Chemonics’ policies and procedures.
Specific responsibilities may include but are not limited to:
- Provides administrative support and reception duties to operations and technical teams.
- Maintain administrative systems, including but not limited to updating communication logs, scanning and filing documents.
- Follow up with project stakeholders as required, prepare project correspondence, file all relevant hard- and e-copy correspondence, and facilitate communication between Ramallah and Gaza offices.
- Answering phones, relaying messages and receive office visitors and field phone calls.
- Performs day-to-day activities consistent with understanding Chemonics basic requirements, standard operating procedures, resources, tools and quality standards.
- Liaise with BREB’s HR, Finance, Procurement, IT and all technical departments to support all operations and logistics.
- Assist with project financial matters including coordinating of invoices from subcontractors and assisting with financial reporting for project grantees as required.
- Coordinate the logistics for all project events, including conferences, workshops, and trainings.
- Support the Operations team with inventory management, stickering, and tracking as needed
- Coordinate BREB vehicle fleet; and organizing vehicle support for all staff transit needs.
- Responsible for petty cash disbursements, replenishments and petty cash count and ensure petty cash transactions are recorded on a daily basis.
- Conduct banking, including cash deposits/withdrawals, account inquiries, and documentation requests.
- Assist the project technical staff, external consultants, and project stakeholders/beneficiaries in arranging travel/transportation for all project-related travel.
- Coordinate the logistics for all project events, including conferences, workshops, and trainings, and assist in hosting project visitors and preparing the boardroom for meetings.
- Record meeting minutes at project staff meetings, mail documents as needed to D.C. office, and perform other office tasks as required.
- Provide guidance to ensure that the office functions are in accordance with Chemonics systems and practices.
- Other duties as assigned by direct supervisor.
Basic qualifications include:
- Minimum of 4 years’ experience providing administrative, finance, HR and other logistical support.
- Diploma/bachelor's degree in Business Administration, Office management or another related field.
- Previous USAID or other international donor experience preferred.
- A valid driver’s license and a clean driving record preferred.
- Excellent organizational skills, attention to detail
- Ability to adhere to deadlines
- Advanced computer skills, including proficiency in Microsoft Office
- Proven ability to operate in a multi-cultural environment and to interact positively with a wide range of stakeholders within an international context
- Fluency in Arabic required and proficiency in English preferred with excellent oral and written communication skills
